Job Description:

• Type correspondence, reports and other documents
• Maintain office files
• Open and distribute the mail
• Distribute minutes
• Maintaining a record of all procured items and making inventories; maintaining fixed assets records with item code, description, date of acquisition, cost, book value, accumulated depreciation and location; ensuring that fixed assets are updated and checked once a year.
• Prepare monthly log-sheets of official and rented vehicles, generator and submit monthly reports to Islamabad office.
• Manage a rental vehicle pool and report on issues related to use/misuse of rented vehicles in regional offices.
• Prepare drivers monthly and weekly schedules and to make sure that the schedule is properly followed.
• Manage the filing, storage and security of documents
• Manage the repair and maintenance of office equipment.
• Make travel and accommodation arrangements of the Senior Management as directed by Head of Admin.
• Assist with overall maintenance of the organisation and its offices.
• Checking of log books.
• Arrangements for orgnaisation’s events in office.
• Enter the record of new employees in the human resource system database.
• Ensure that human resource files and records are maintained in accordance with legal requirements and I-LAP policies and procedures.
• Complete monthly and year-end reports regarding terminations, transfers, and new hires.
• Prepare recruitment lists and job postings.
• Receive and tracks employment applications.
• Obtain and conveys information as needed.
• Assist in training new employees. Supports Department personnel as needed.
• Attend and participates in meetings as required.
• Stay well informed regarding human resource developments.
• Perform miscellaneous clerical functions and special projects as assigned.
• Prepare attendance reports on a monthly basis.
• Maintain leave a record of all employees.
• Supervise the kitchen staff and housekeeping staff.
• Maintain a database of important contact numbers
• Maintain daily attendance record of all staff members
• Maintain a dispatch register on a daily basis
• Any other task assign by the management
